Schedule a planogram for execution

Scheduling the planogram for execution ensures controlled and efficient communication between the office and stores.

The functionality allows you to:

  • Automate the process of transferring the actual layout in the morning on the planned day; 
  • Maintain order in the planning of stores;
  • Avoid mistakes related to premature or late sending of the planogram for execution;
  • Monitor the status of current and planned planograms.

These capabilities allow you to focus on strategic planning and ensure the efficiency of tasks at your outlets.

How to set up?

The "Sending planograms" page has a "Sending date" column (read more about Sending a planogram for execution in the article).


After clicking on the "Sending date" field, a calendar opens to select a date.

You can use the predefined options: Tomorrow, In 2 days, In a week, In a month.

By default, the value "Send now" is displayed - the planogram will be sent after clicking the "Send" button.

Important! You cannot select a date earlier than the current one.

The planogram is sent automatically in the morning on the selected day.

Note! By default, the schedule is sent in the morning of the scheduled day.



If you need to set up sending several planograms to different stores on the same date, click on the "Schedule sending" button on the top panel:

is will open the "Set sending date" window with a date selection field and a "Update sending date for planograms with existing schedules " switch.


Displaying the scheduled date

In the "Selected stores" block, when the dispatch date is set, an icon is displayed next to the deadline for the planogram:  

vering over it displays information about the scheduled dispatch date.


Important! If the planogram is immediately sent for execution, the date icon is not displayed.


Viewing scheduled planograms for execution

In the Tasks block

The Tasks block displays the “Scheduled sending” block with the number of planograms with a set date.

To display the list of planograms, click the "View details" button. A window containing the corresponding table opens.


In the table, you can edit the date of the scheduled shipment. Clicking on the corresponding field opens the calendar. Selecting a new date activates the "Resend" button.


In the Planograms block

Scheduled for sending is added to the list of statuses, which indicates that the planogram has not yet been sent, but has a set date for future sending.

This allows you to view planograms prepared for sending according to their statuses:

  • Was not sent;
  • Scheduled sending;
  • On execution;
  • For check;
  • Returned for execution;
  • Confirmed.
Note! Viewing planograms by status is also available in the Control block.

 

Also, on the "Planogram card" in all display modes, an icon is displayed when the sending date is set:  


Hovering over it displays information about the scheduled sending date.

How does it work?

A planogram with the “Scheduled sending” status on the set date is automatically sent for execution.


Important! The current version of the planogram that exists in the system at the time of sending is sent.


After the planogram is sent, whether immediately or scheduled for the specified date, the status automatically changes to "On execution".

The scheduled sending is canceled if:

  • The planogram is removed from the store plan.
  • The store plan is deactivated or the store is changed.
  • The store manager is removed from the corresponding store.
  • The planogram is manually sent for fulfillment before the scheduled date.

When you cancel the sending, the planogram with the status "Scheduled sending" returns to the status "Was not sent" if it has not been sent before, or to the previous status (for example, "Confirmed"). 

Important! If the scheduled planogram failed to be sent, a notification is sent.


Notification

A day before the scheduled sending date, you receive a notification. If there are several planograms scheduled for sending, one notification is generated with generalized information about their number.


Clicking on the notification opens a window containing a table with details:

  • Planogram name;
  • Name of the plan;
  • Store manager.


Scheduled planogram sending allows you to automate the process of communicating with stores by setting a date for sending the planogram in advance. This is especially useful when opening new stores or working centrally with several outlets.
