Chat (PlanoHero Layout)

While working with planograms, there is often a need to discuss changes, clarify layout details, or leave comments for other users.


For this purpose, the "Chat" tool is used, which allows discussions directly within a specific planogram.


Chat helps to quickly exchange messages, files, and receive feedback from the team, making work with planograms more efficient.

Where to find the chat

Chat is available in several places in the app:

  • Bottom panel of the app"Chat" tab:



  • Planograms tab — if a planogram has been returned for execution and the planner left a comment, you can immediately open the chat from the Planograms tab to view the message and continue the discussion:



  • Planogram dashboard — tapping the "Unread messages" row opens the "Chat" tab:




Note!  The "Unread messages" row shows the number of new messages. 


  • Photo report view page — the "Go to chat" button opens the planogram chat and displays the left comment:


Conditions for Displaying Chats in the "Chats" Panel

For a user with permission to edit a planogram, if they:

  • Edited a planogram — the chat will appear in the list if there have already been messages in that planogram;
  • Was mentioned in a message or sent a message;
  • Received a planogram for review. 


For a user with the role "Store Manager" in the "Tasks" block, if they:

  • Submitted a photo report for review;
  • Was mentioned in a message; 
  • Received a planogram for execution — if it already contained messages.

Actions with the chat list in the "Chat" tab

  1. Search — enter the planogram name in the search field to quickly find the required chat:



  1. "Add chat" button  —  available to administrators to add a chat that is not yet in the general list:



Important! Available only to users with editing rights and not available to store managers.


After clicking, a panel with a list of available planograms opens. Only planograms that belong to the current store are displayed in the list.


The following actions are available in this panel:

  • Search — allows you to quickly find a planogram by name;
  •  Add chat — tap the "Add chat" button to the right of a planogram to add it to the chat list:



  • Close the panel — the "Close" button in the top right corner closes the panel without adding a planogram:



  1. Go to planogram — quick navigation to the dashboard of the selected planogram: 



  1. Pin / unpin chat — moves the chat to the top of the list and marks it with the "Pin" icon. To remove it, tap "Unpin":


Working with a planogram chat

After opening a chat, the conversation for a specific planogram is displayed.


Available tabs:

  • Messages — the main feed for communication, where all user messages are displayed;
  • Pinned messages — important messages pinned by users for quick access;
  • Media — contains all sent images and videos;
  • Files — displays sent files. 


Note! For each file and media item, the following actions are available: view, download. The option to delete is available only to the author.Note! On mobile devices (iOS and Android), when downloading media or files, the app requests permission to save them. Depending on the mobile operating system, you can choose where to save files and media. If permission is not granted, the file or media cannot be saved. 

Sending messages and files

At the bottom of the chat, there is a message input field and buttons for additional actions:

  1. "Mention" — allows you to address a specific user or all store managers at once:



Click the "Mention" button, select one or more users from the list, then type and send your message — the user will receive a notification.


  1. "Attach file":



You can upload:

  • Documents (.pdf, .docx, .xlsx, .pptx, .txt);
  • Images (.jpg, .jpeg, .png, .svg, .webp, .gif, .heic);
  • Archives (.zip, .rar);
  • Videos (.mp4, .mov).


Limitations:

  • Up to 20 files per message;
  • Maximum file size — 100 MB.


  1. Emoji — allow adding visual reactions:


Message actions

For each message, actions are available through the context menu that opens after clicking on the message:

  • Add reaction — allows adding emoji to a message for quick feedback;
  • Reply — creates a reply with a reference to the original message to preserve context:



  • Pin — pins the message to the top of the chat and adds it to the "Pinned messages" tab, to unpin a message, tap it again and select "Unpin".



  • Edit — available only to the message author. After editing, the label "Edited" appears:


  • Delete — available only to the message author. Replaces the message text with "Message deleted":



Note! Within 10 seconds after deletion, the "Restore message" button is available.


  • Copy text — copies the message text to the clipboard:



  • Views — available only to the message author. Shows users who have viewed the message:



Search is available in the chat, allowing you to find messages by text and files and media by their names:



After entering a query, a list of results is displayed. Select the desired message from the list to navigate to it in the chat.

Notification settings in "Personal Settings PlanoHero"

When a new message arrives, a notification appears on your device. Tapping it opens the corresponding chat. 


In Personal Settings (the "Notifications" tab), you can manage notifications about mentions in chats (@) both in the service and in the PlanoHero Layout app. These settings can be changed in the web version of PlanoHero.
